Refund Policy

At CraftNest Studio, we want you to be completely satisfied with your workshop experience. This Refund Policy outlines our cancellation procedures, refund eligibility, and the process for requesting refunds. Please read this policy carefully before registering for workshops.

Our Commitment: We strive for flexibility while maintaining fair policies for all participants. If you have any concerns about our refund policy, please contact us before registering—we're happy to discuss your specific situation.

1. Workshop Cancellation and Refund Timeline

Refund eligibility depends on when you cancel your workshop registration relative to the scheduled workshop date:

2. How to Request a Refund

2.1 Cancellation Process

To request a refund or cancellation, please follow these steps:

  1. Log in to your CraftNest Studio account
  2. Navigate to "My Workshops" or "Upcoming Bookings"
  3. Select the workshop you wish to cancel
  4. Click "Request Cancellation" and follow the prompts
  5. You will receive a confirmation email within 24 hours

Alternative method: Email us at bookings@craftnest-studio.com with your name, order number, and workshop details. We will process your request and respond within 24-48 hours.

2.2 Refund Processing Time

Once your cancellation is approved:

  • Refunds are processed within 5-7 business days
  • The refund will be credited to the original payment method
  • Credit card refunds may take an additional 3-10 business days to appear on your statement
  • PayPal refunds typically appear within 1-3 business days

3. Studio-Initiated Cancellations

3.1 Full Refund Scenarios

You will receive a full refund if CraftNest Studio cancels or significantly changes a workshop due to:

  • Insufficient enrollment (minimum 4 participants required)
  • Instructor illness or emergency
  • Facility unavailability or safety concerns
  • Severe weather or natural disasters
  • Unforeseen circumstances beyond our control

In these cases, you will be notified as soon as possible (at least 48 hours before the scheduled workshop, when feasible) and offered the choice of:

  • Full refund to your original payment method
  • Credit for the full workshop fee plus a 10% bonus for future use
  • Transfer to the next available workshop of the same type

3.2 Rescheduling by Studio

If we need to reschedule a workshop to a different date or time, you may:

  • Accept the new date/time at no additional cost
  • Receive a full refund
  • Receive full credit for a future workshop

4. Transferring Registrations

4.1 Transfer to Another Person

If you cannot attend but have a friend or family member who would like to take your place:

  • Transfers are allowed up to 48 hours before the workshop
  • No transfer fee applies
  • You must provide the new participant's full name, email, and phone number
  • The new participant must meet any age or skill-level requirements
  • Email support@craftnest-studio.com to initiate a transfer

4.2 Transfer to a Different Workshop

You may transfer your registration to a different workshop date or type under the following conditions:

  • Request must be made at least 7 days before the original workshop date
  • The new workshop must be of equal or lesser value (price difference is non-refundable)
  • If the new workshop costs more, you must pay the difference
  • Transfers are limited to once per registration
  • Subject to availability in the new workshop

5. Special Workshop Categories

5.1 Private Workshops and Group Bookings

Private sessions and group bookings (5+ participants) have different cancellation terms:

  • 30+ days before: Full refund of deposit and balance
  • 15-29 days before: 50% refund; deposit forfeited
  • 7-14 days before: 25% refund; deposit forfeited
  • Less than 7 days: No refund; may reschedule once within 90 days (subject to $50 rescheduling fee)

5.2 Multi-Session Workshops and Series

For workshops spanning multiple sessions (e.g., 4-week courses):

  • Cancellations before the first session follow standard refund timeline
  • Cancellations after the first session: Pro-rated refund for remaining sessions minus a 20% administrative fee
  • No refunds after 50% of sessions are completed
  • Missed individual sessions cannot be refunded but may be made up in a future series (subject to availability)

5.3 Materials-Only Purchases

If you purchased craft kits or materials without workshop registration:

  • Unopened items may be returned within 14 days of purchase
  • Original receipt or order confirmation required
  • Refund will be issued minus a 15% restocking fee
  • Opened or used materials are non-refundable
  • Custom or personalized items are non-refundable

6. Non-Refundable Situations

Refunds will not be issued in the following circumstances:

  • No-shows (failure to attend without prior cancellation)
  • Late arrivals resulting in missed instruction
  • Dissatisfaction with finished project due to participant effort or skill level
  • Removal from workshop due to disruptive behavior or policy violations
  • Personal emergencies not communicated to us within 48 hours of the workshop
  • Change of mind after workshop materials have been prepared (less than 48 hours before)
Extenuating Circumstances: We understand that emergencies happen. If you experience a serious illness, family emergency, or other exceptional situation, please contact us immediately. We will review your case individually and work with you to find a fair solution, which may include a one-time exception to our standard policy.

7. Gift Certificates and Promotional Credits

7.1 Gift Certificate Refunds

  • Gift certificates are non-refundable once purchased
  • Unused gift certificates may be transferred to another person
  • Gift certificates are valid for 12 months from date of purchase
  • Expired gift certificates may be renewed for a $10 reactivation fee

7.2 Promotional Codes and Discounts

  • Refunds on discounted workshops will be based on the amount actually paid
  • Promotional codes cannot be reinstated if a refunded workshop is re-booked
  • Credits from cancellations do not include promotional discount amounts

8. Workshop Credits

8.1 How Credits Work

Workshop credits are issued as an alternative to refunds and offer greater flexibility:

  • Credits are stored in your CraftNest Studio account
  • Valid for 12 months from issue date
  • Can be applied to any future workshop or materials purchase
  • May be combined with other payment methods
  • Non-transferable and non-refundable for cash

8.2 Bonus Credits

When choosing credits over refunds, you receive additional value:

  • Cancellations 14+ days before: 10% bonus credit
  • Cancellations 7-13 days before: 5% bonus credit
  • Studio-initiated cancellations: 15% bonus credit

9. Medical and Emergency Situations

If you cannot attend a workshop due to a medical emergency, serious illness, or family crisis:

  • Contact us as soon as possible (preferably before the workshop date)
  • Provide documentation (doctor's note, hospital records, etc.) if available
  • We will review your situation and may offer:
    • Full refund regardless of cancellation timeline
    • Full credit with extended validity (up to 24 months)
    • Complimentary rescheduling to any future date

We handle these situations with compassion and discretion. Your documentation will be kept confidential.

10. Disputes and Resolution

10.1 Refund Disputes

If you disagree with a refund decision:

  1. Contact our customer support team at support@craftnest-studio.com
  2. Provide your order number, workshop details, and explanation
  3. A manager will review your case within 3-5 business days
  4. You will receive a written response with our decision and reasoning

10.2 Chargebacks

Before initiating a chargeback with your credit card company, please contact us to resolve the issue. Chargebacks can take months to resolve and may result in account suspension. We are committed to finding fair solutions and will work with you in good faith.

11. Policy Updates

CraftNest Studio reserves the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated "Last Updated" date. Refund terms applicable to your booking are those in effect at the time of your original registration, unless changes benefit the customer.
